These general terms are designed for Tokhore Executive's chauffeur operations. Exact cancellation windows, complimentary waiting periods, hourly minimums, overtime rates, payment instructions, and other trip-specific monetary terms are provided in the applicable quote, reservation confirmation, invoice, promotion, or approved account agreement rather than represented as one universal rate.
1. Scope and acceptance
These Terms govern transportation reservations, corporate accounts, website use, and related chauffeur services provided under the Tokhore Executive brand. By requesting, confirming, paying for, or using a service, the customer agrees to these Terms together with the written reservation confirmation and any account-specific agreement.
2. Reservation requests and confirmation
Website, phone, email, text, or WhatsApp requests are requests only and are not confirmed reservations until Tokhore Executive expressly confirms them. Availability, vehicle category, chauffeur assignment, pickup instructions, itinerary, timing, and service details remain subject to confirmation. Customers must review confirmations promptly and report errors or changes.
3. Quotes, custom pricing and promotions
Website content and preliminary estimates are not guaranteed fares. Pricing may be quoted or negotiated for a particular trip, customer, promotion, corporate account, date, vehicle, itinerary, or service type. A confirmed price may change when the customer changes the reservation or when additional authorized or applicable services, time, stops, tolls, parking, airport or venue charges, waiting, cleaning, damage, or other trip-specific charges arise.
4. Payment, authorization, external payments and invoices
Customers are responsible for the confirmed fare and all applicable authorized or trip-related additions. Tokhore Executive may require a valid approved payment method, card authorization when an approved card processor is available, deposit, prepayment, ACH transfer, or other payment assurance before dispatch. Where Tokhore Executive separately approves an external method such as ACH, Cash App, Zelle, Venmo, or another approved method, the customer must use only the payment instructions provided for the applicable reservation or invoice. A screenshot, receipt, transaction reference, or payment-submission form is evidence for review and does not by itself establish that funds were received or that a balance is paid. Tokhore Executive may verify receipt before changing the account or reservation to Paid. Approved corporate accounts may receive invoicing or credit terms only as confirmed in writing. Past-due balances, failed payments, rejected submissions, disputed or reversed charges, or expired payment methods may result in suspension of future service, subject to applicable law.
5. Cancellations and material changes
Cancellation and late-change terms may vary by vehicle commitment, service type, date, event, itinerary, affiliate commitment, and notice provided. The cancellation terms stated in the customer's written confirmation control for that reservation. A material change to pickup time, date, route, vehicle, passenger count, destination, or service duration may require repricing or a new availability confirmation. Costs already committed to an affiliate, parking, permit, event, or special arrangement may remain chargeable where disclosed or permitted.
6. No-shows and passenger contact
A passenger may be treated as a no-show when the chauffeur or dispatch team cannot reasonably locate or contact the passenger after the applicable pickup and waiting process. Customers must provide a reachable mobile number and accurate pickup details. Before leaving a pickup where reasonably practical, the chauffeur or dispatch team may attempt to contact the passenger. Any no-show charge or applicable waiting charge will follow the confirmed reservation terms and applicable law.
7. Airport pickups, flight tracking and meet-and-greet
Customers must provide the correct airline, flight number, airport, terminal, passenger name, and mobile number. Flight tracking is a coordination aid and cannot guarantee timing because terminal assignments, gate changes, customs, immigration, baggage, airport traffic, holding-lot rules, security procedures, and pickup regulations are controlled by third parties. Pickup location may be curbside, an authorized pickup area, or a separately confirmed meet-and-greet location. Meet-and-greet, parking, terminal access, or related airport charges may apply when included or requested.
8. Airport delays, early arrivals and diversions
Tokhore Executive may adjust dispatch timing using available flight information. Significant delays, diversions, cancellations, terminal changes, or missing/incorrect flight information can affect chauffeur availability and may require a revised pickup plan or price. If a flight is diverted to another airport, transportation from the new airport is a change of service and is subject to availability and confirmation.
9. Waiting time and grace periods
Any complimentary grace period and the point at which paid waiting begins depend on the service type and the written reservation confirmation. Airport waiting may be calculated differently from residential, hotel, office, event, or other point-to-point pickups. Waiting caused by passenger delay, baggage, customs, additional unplanned stops, or a requested hold may become chargeable after any applicable grace period. Tokhore Executive will not publish a universal grace-period promise where trip-specific terms apply.
10. Point-to-point service, stops and route changes
Point-to-point service is based on the confirmed pickup, destination, timing, and planned stops. Added stops, unscheduled detours, substantial route changes, return trips, or destination changes requested after confirmation may increase time and price and remain subject to chauffeur and vehicle availability. A brief stop does not convert a point-to-point reservation into unlimited hourly service.
11. Hourly and as-directed service
Hourly or as-directed service is reserved for a confirmed block of vehicle and chauffeur time and may be subject to a minimum duration stated in the quote or confirmation. Time may begin at the confirmed service start or other stated dispatch basis and continues while the vehicle is retained for the customer's use. Time beyond the confirmed block is subject to availability and may be billed at the confirmed overtime or incremental rate. The customer should not assume an hourly reservation can be extended indefinitely.
12. Tolls, parking, airport, venue and special charges
Tolls, parking, airport access, meet-and-greet parking, venue access, permits, ferry charges, congestion-related charges, road charges, special-event access costs, or similar third-party costs may be included in a quote or added as stated in the confirmation. When a charge is not reasonably known in advance, it may be added after the trip where applicable and permitted.
13. Gratuity
Any gratuity included in a confirmed quote or invoice will be identified or handled according to the reservation terms. Where gratuity is not included, a customer may provide gratuity at the customer's discretion. A customer should review the confirmation before assuming gratuity is included or excluded.
14. Holidays, major events and high-demand periods
Holiday periods, major conventions, sporting events, concerts, severe-weather periods, roadshows, large events, and other high-demand dates may require special pricing, minimum service commitments, deposits, stricter cancellation terms, or adjusted pickup procedures. Any such trip-specific terms will be communicated as part of the quote or confirmation.
15. Passenger count, luggage and vehicle capacity
Customers must provide an accurate passenger count and disclose unusually large or excessive luggage, mobility equipment, or other items that could affect vehicle suitability. Service may be modified or an additional vehicle may be required when the requested passenger or luggage load cannot be transported safely or lawfully. Nothing may obstruct the chauffeur's safe operation of the vehicle.
16. Child passengers and child restraints
Customers traveling with children must notify Tokhore Executive in advance of any requested child-seat arrangement. Availability of a particular child restraint must be expressly confirmed. The responsible adult remains responsible for providing accurate child information and complying with applicable child-restraint requirements unless a different responsibility is required by law.
17. Passenger conduct, smoking and prohibited activity
Passengers must comply with applicable law and reasonable safety instructions. Smoking, vaping, illegal substances, dangerous conduct, harassment, threats, intentional vehicle damage, and activity that materially interferes with safe transportation are prohibited. Service may be refused or ended when reasonably necessary for safety or legal compliance, subject to applicable law.
18. Cleaning and damage
The customer or responsible account may be charged reasonable costs attributable to unusual cleaning, spills, stains, biohazard remediation, broken or damaged interior or exterior components, or other passenger-caused damage, to the extent permitted by law. Ordinary wear is not treated as passenger damage. Documentation may be used to support a charge.
19. Lost property
Passengers should inspect the vehicle before leaving. Tokhore Executive will make reasonable efforts to identify and return property reported as lost but cannot guarantee recovery or accept responsibility beyond what applicable law requires. Delivery, shipping, toll, parking, or chauffeur time required to return an item may be charged when agreed or permitted.
20. Accessibility and special assistance
Customers should communicate mobility, accessibility, or special-assistance needs when requesting service so an appropriate service arrangement can be evaluated. Tokhore Executive will handle such requests consistent with applicable law and available vehicle/service capabilities.
21. Delays and circumstances beyond reasonable control
Travel and arrival times are estimates and may be affected by traffic, weather, crashes, road closures, government action, airport or venue operations, security restrictions, mechanical emergencies, communication outages, demonstrations, or other circumstances beyond reasonable control. Tokhore Executive will use reasonable operational efforts but cannot guarantee a travel time that depends on such conditions, subject to applicable law.
22. Affiliate and subcontracted transportation
Tokhore Executive may coordinate a reservation with a qualified affiliate or subcontracted transportation provider when appropriate for coverage, geography, vehicle needs, or operational continuity. Service arrangements will be handled consistent with applicable requirements and the confirmed reservation. Affiliate availability or costs may affect changes and cancellations after commitment.
23. Corporate accounts and authorized users
Submitting a corporate application does not create an account, credit facility, negotiated rate, or guaranteed service. Tokhore Executive may approve, decline, suspend, limit, or request additional information for an account. Approved credit limits, invoice schedules, payment terms, authorized users, purchase-order requirements, and negotiated rates apply only when confirmed. The organization is responsible for reservations properly made by its authorized users, subject to its written account terms.
24. Communications and reservation records
Customers consent to operational communications reasonably necessary to quote, confirm, coordinate, modify, bill, verify payment, or support a reservation or account using the contact methods supplied. Reservation confirmations, account agreements, dispatch records, payment submissions, payment verification records, and written communications may be used to determine the agreed service and billing details.
25. Privacy and payment credentials
Personal and business information is handled according to the Tokhore Executive Privacy Policy and applicable law. Customers should not send full card numbers, online-banking passwords, account login credentials, PINs, or other secret payment credentials through ordinary email, chat, payment-proof uploads, or notes. Payment proofs should contain only information reasonably necessary to verify the applicable transaction.
26. Limitation by applicable law
Nothing in these Terms excludes, restricts, or waives a right, duty, remedy, or liability that cannot legally be excluded or limited. Any limitation or allocation of responsibility in these Terms applies only to the extent permitted by applicable law.
27. Governing law, disputes and severability
These Terms are governed by applicable New York law. The parties should first attempt in good faith to resolve billing or service disputes directly. Any dispute process, venue, or remedy remains subject to applicable law and any separately signed corporate agreement. If one provision is unenforceable, the remaining provisions continue to the extent legally permitted.
28. Updates and controlling terms
Tokhore Executive may update these Terms prospectively. The version accepted or applicable when a reservation or corporate transaction is confirmed governs that transaction unless the parties agree otherwise in writing. Trip-specific written confirmation terms and signed corporate-account terms control over inconsistent general website language for that transaction.
